Making Tables Readable

Readability starts in the sheet: bold the header row, use alternating fill colors, avoid ultra-thin fonts, and keep font sizes at 11 points or larger. Collapse overly wide columns so the exported image does not shrink text below comfortable viewing size. Turn off gridlines if you prefer a cleaner presentation style, and keep them on when precise cell boundaries matter for the reader, such as in financial reconciliation sheets.

Resolution and Quality

JPG compression favors photographs, but flat tables still convert cleanly at standard quality. Export at higher resolution when the image will fill a projector screen, and keep moderate settings for email where attachment size matters. Zoom in once to confirm digits are sharp.

When to Send the Workbook Instead

Images cannot be recalculated or filtered. Whenever recipients need to explore data, sort columns, or audit formulas, send a PDF or the original file with sensitive sheets removed. Use JPG for presentation moments and real files for analytical work. Save both when a document will be revisited, so the audience always has a path back to the underlying numbers.
